Overview of Reporting in Elentra

Elentra contains two different reporting domains:  User Interface (UI) reports, which live within the Elentra platform in the administrative view of various modules; and Elentra Analytics reports, which live in the Analytics tool.  The User Interface reports predate Analytics, and are hard-coded to have specific features, and to include/exclude specific data.  Analytics reports are built within a dedicated reporting tool, and as such, allow for more flexible customization as needed, without the need for a software developer to build.  All current and future report development will be conducted within Analytics.  

By default, your institution will have access to both the UI reports and Analytics reports.  Different user group:role permission sets will grant differing levels of access to reports. User Interface reports live all over the Elentra platform, and are available to Medtech:Admin users. Other users may also have access, or be granted access, to UI reports, depending on their group:role settings and association with the course the user wants to report upon.  

Note: After your first log in to Elentra Analytics, it may take up to ten minutes for your data to load. This is a one time delay, and after ten minutes you will be able to run your reports as expected.

Reporting Permissions

Report access is different between Analytics and UI reports.  By default, only Medtech:Admin and Staff:Admin users have the ability to access and use reports in Analytics.  Access to UI reports in Elentra depends on a user's group:role permissions, and connection to a course/courses that the user wishes to report upon.  The Course Contacts page allows you to apply user(s) to the course, which grants additional permissions to those users.  A user with the Facutly:Director permission set can be applied to the course contact as the Course Director, or as an Associated Faculty member.  If listed as a Course Director, this allows that Faculty:Director user to access administrative and reporting abilities for that course.  If listed as simply an Associated Faculty member, the user is not granted additional administrative or reporting abilities. 

Practically speaking, this means that Medtech:Admin users have access to all Elentra reporting tools.  Staff:Admin users have access to most of the UI reports, but need to be permissioned to Assessment & Evaluation content in order to report on that content within the A&E UI reports.  Staff:PCoordinator and Faculty:Director users can be granted access to content via individual or course permissions, which will allow them to report upon said content.

Extracting Data from Elentra

Institutions will have several ways to extract data out of Elentra.  

  1. A nightly export of your institution's Elentra data is provided via Google Bucket. 
  2. Export functionality in Elentra modules.
  3. Reporting tools (UI and Analytics)
