Assessment & Evaluation Settings
Administrators can manage some Assessment & Evaluation options directly in Elentra from Admin > Assessment & Evaluation > Settings. The Settings page has two tabs:
- Settings: Turns available options on or off for the organization.
- Audit: Shows a history of changes to these settings, including [who made each change and when].
Learner Task Recall
When this option is on, learners can recall an on-demand or ad hoc assessment they sent to an assessor using Email blank form. A learner can recall a task only until the assessor opens it. Once the assessor opens or begins the form, the recall option is no longer available.
Learner Task Recall does not apply to tasks sent using Complete and confirm via email, where the learner fills in the form first.
A recalled task is removed from the assessor’s task list. Learners cannot restore a recalled task. If the task was recalled by mistake, the learner can send a new one to the same assessor, or an administrator can restore it from the Deleted Tasks.
Default: [OFF]
Email the assessor when a task is recalled
This option appears under Learner Task Recall and is available only when Learner Task Recall is on. When it is on, Elentra sends the assessor an email when a learner recalls a task that was sent to them.
Default: [OFF]
Manage Assessment and Evaluation Administrators
Assessment and Evaluation Administrators can view, submit, and report on assessment and evaluation data across an organisation without holding the medtech:admin role.
About the roles|
Role |
Access |
|---|---|
|
Assessment Administrator |
View, submit, and report on all assessments. Does not include evaluations. |
|
Evaluation Administrator |
View, submit, and report on all evaluations and all assessments. |
Every Evaluation Administrator is also an Assessment Administrator. Adding a user as an Evaluation Administrator grants both roles, and removing a user's Assessment Administrator role removes both.
- Organisation: a grant applies only while the user's active organisation is the one it was granted in.
- Individual: a grant applies to one user and does not change access for anyone else.
- Timing: changes take effect immediately. The user does not need to log out and back in.
A user with organizational editing permissions such as staff:admin or medtech:admin role can complete these steps.
- Navigate to Admin > Assessment & Evaluation > Settings.
- On the Settings tab, turn on the Assessment Administration switch.
- Click Yes to confirm.
The Administrators tab appears on the Settings page once Assessment Administration is enabled.
Add an administrator- Navigate to Admin > Assessment & Evaluation > Settings.
- Click the Administrators tab.
- Search for the faculty or staff member by name.
- Add the user as an Assessment Administrator or an Evaluation Administrator.
The user's access updates immediately in the current organisation.
Remove accessTo remove access for one user, remove their role on the Administrators tab. Removing a user's Assessment Administrator role also removes their Evaluation Administrator role.
To remove access for everyone in the organisation:
- Navigate to Admin > Assessment & Evaluation > Settings.
- On the Settings tab, turn off the Assessment Administration switch.
- Click Yes to confirm.
Turning off Assessment Administration removes every Assessment and Evaluation Administrator grant in the organisation. Grants are not restored if the setting is turned back on, so each user must be added again.
